Survey Launch Guide: Recommended Timeline

Overview

Quantum Workplace generally recommends 6-8 weeks, from implementation call to survey launch, to prepare and deliver an effective and insightful survey. 

This ensures that you, as the customer, have time for: 

  • Thoughtful survey design 
  • Internal communication plan & execution 
  • Buy-in from stakeholders on all aspects of the survey 
  • Finalization of requirements, i.e. survey invitations, reminder messages, survey content, and employee demographics

Checklist for a Successful Launch

While Quantum Workplace prepares your survey, the following are some points for your organization to consider and act on for a successful survey experience. 

  • Determine who is in charge of managing the survey implementation for your organization
    • This person will need to set time aside each week to prepare for the survey launch
  • Meet with your IT team to understand what is required to pull an employee demographic file from your HRIS, learn more about required and supplemental demographics in Quantum Workplace
    • Other points to consider: 
      • Will your HRIS ensure quality employee data as it currently operates 
      • Do you require additional KPI demographic data that is not currently captured with your HRIS 
  • Prepare an internal communication plan for the survey announcement, learn more about pre-survey communication best practices
  • Begin discussions with necessary leaders to get sign-off on survey questions, see Quantum Workplace's recommended engagement survey questions
  • Consider how employees will receive their survey invitations; possible options include: 
    • Unique password, or Custom Access, via kiosk
    • Employee ID via kiosk
    • SMS Text Messaging (additional fee)

Signature Recommended Timeline

The following is the recommended timeline from the welcome call to the survey launch for Signature customers.

  • Week 0: Welcome call
  • Week 1: Implementation call & data design call
  • Weeks 2 & 3: Customer builds survey and sends employee demographics to Quantum Workplace
  • Week 4: Quantum Workplace loads employee demographics into the platform and runs survey Quality Analysis checks
  • Week 5: Customer tests survey and follows up on any outstanding items from the Quality Analysis check
  • Week 6: Survey launch

Signature Plus & Premium Recommended Timeline

The following is the recommended timeline from the welcome call to the survey launch for Signature Plus and Premium customers.

  • Week 0: Welcome call
  • Week 1 & 2: Implementation call, data design call, and survey design call
  • Week 3: Customer sends final survey content file, employee demographics, and survey communication
  • Week 4: Quantum Workplace loads employee demographics into the platform and runs a survey Quality Analysis check
  • Week 5: Customer tests surveys and follows up on any outstanding items from the Quality Analysis check
  • Week 6: Survey launch
