How to Import Historical Data into Quantum Workplace

Learn how to import past data on Feedback, Goals, Reviews + 1-on-1s, and Surveys into QW for a seamless transition.

For more on Historical Data Loads based on your plan:

  • For Survey plan customers: Up to five (5) historical survey data sets are included for data mapping. Customer is responsible for coordinating the transfer of data from their previous vendor to Quantum Workplace. All data must be provided in CSV format, at the individual level, and include a unique identifier that allows mapping to the current project’s data.
  • For Performance plan customers: Historical data requirements vary by feature and must be provided as outlined here. Data import includes up to one (1) year of historical data for Reviews and 1-on-1s. Importing historical Feedback data is available for an additional fee.
  • For Development plan customers: Historical data requirements vary by feature and must be provided as outlined here. Data import includes up to one (1) year of historical Talent Review data.

About Historical Data Loads

Historical data loads allow you to bring past information into Quantum Workplace, giving your teams a complete view of employee history in one platform.

While some imports can be handled through self-service tools, others require support from your Quantum Workplace team to ensure accurate formatting and placement.

These imports help preserve context, enable trend analysis, and support a more comprehensive employee experience.

How Data Loads Work by Feature

Feedback

What You Can Import

Historical feedback cycles including ratings, comments, and written evaluations from prior platforms.

Import Method

Quantum Workplace uses a historical cycle import process based on your configured Feedback template. This is not a self-service import.

Steps to Import

  1. Create a Feedback template in QW

    • Go to: Admin > Feedback > Templates > Create Template

    • Include all question types and categories you want to import

  2. Request an import file from your Quantum Workplace contact

    • File will be customized based on your Feedback template

  3. Format your data in the import file

    • One row per feedback provider

    • Each row must contain all answers from one person for one feedback cycle

  4. Submit the file to Quantum Workplace

  • Excel spreadsheet provided by QW

  • All responses from a single provider grouped in one row

  • Consistent use of user identifiers

Quantum Workplace Involvement

The QW team must configure the feedback cycle and upload the data on your behalf.


Goals

What You Can Import

Structured goal data, including goal names, owners, statuses, due dates, and descriptions.

Import Method

Admins can import goals directly through a self-service tool in the platform.

Steps to Import

  1. Navigate to: Admin > Goals > Import Goals

  2. Download the import template

  3. Format your data to match the template using your exported goal data

  4. Upload the file via the Import Goals tool

File Format Guidelines

  • Excel template provided in-platform

  • One row per goal

  • Fields include goal owner, goal name, start/end date, progress metrics, etc.

Quantum Workplace Involvement

Optional—Admins can complete this without QW support, but your contact can assist as needed.

Reviews & 1-on-1s

What You Can Import

PDF copies of historical performance reviews and 1-on-1 conversations.

Import Method

These files are imported by Quantum Workplace using a mapping file that connects each document to the appropriate employee. This is not a self-service process.

Steps to Import

  1. Export your data from your previous system as PDFs

    • One PDF per employee per cycle (preferred), or

    • One PDF per employee with all cycles combined

  2. Name files consistently (e.g., FirstName_LastName_Review_Year.pdf)

  3. Complete the mapping file provided by Quantum Workplace, including:

    • UserIdentifier (email or employee ID) – Required

    • FileName (exact name of the PDF) – Required

    • FriendlyFileName (display name in QW) – Optional

  4. Submit the mapping file and PDFs to your Quantum Workplace contact

  • Consistent and unique file names

  • One row per file in the mapping spreadsheet

Quantum Workplace Involvement

The QW team will validate and upload files, making them available in each employee’s Snapshot.


Surveys

What You Can Import

Respondent-level raw survey data including responses and demographics from past survey tools.

Import Method

Quantum Workplace will import your survey data via an Excel or CSV file. This is not self-service.

Steps to Import

  1. Export your survey data from your previous platform

  2. Format your file using these guidelines:

    • One row per survey participant

    • One column per survey question and demographic field

    • Include question type, text, category, and scale for each item

  3. Define your intent:

    • Reference only: if you plan to change survey content going forward

    • Trending: if you want to track question results year over year

  4. Submit the file to your Quantum Workplace contact 

Note: Quantum Workplace uses a 6-point Agreement scale. If your prior survey vendor used a scale other than 5 or 6-point, trending might not be available. (This does not include “NA”)

File Format Guidelines

  • Excel or CSV

  • 6-point scale preferred (Quantum Workplace's default)

  • Remove N/A responses from calculations

  • Include full scale and question text

Quantum Workplace Involvement

Quantum Workplace will format and validate the file and upload your historical results into the system.

Succession Planning

What You Can Import

Historical incumbent and candidate information for existing or prior succession plans.

Import Method

Succession Planning data is imported using the Talent File, which is a user-facing, self-service import process.

Steps to Import

  1. Export incumbent and candidate data from your previous system in a spreadsheet format.

  2. Prepare your file using Quantum Workplace’s Talent File template, ensuring all required fields are included:

    • Role (title or role of the incumbent user) – Required

    • Plan Name (title of the plan that owns the role) – Required

    • Incumbent EmployeeID (for the user in the associated role) – Optional

    • Candidate EmployeeID – Optional

    • Readiness Level, Strengths, Gaps, and General Notes – Optional
  3. Upload the completed Talent File directly within Quantum Workplace under Succession Planning > Import Talent File.

  4. Review and confirm that all imported records appear as expected in the platform.

Talent Reviews

What You Can Import

Historical Talent Review data, including key ratings, and reviewer notes when compatible with Quantum Workplace’s system.

Import Method

These data files are imported by Quantum Workplace.

Steps to Import

  • Export your historical Talent Review data from your previous system in a compatible format (typically .csv or .xlsx).
  • Work with your Quantum Workplace contact to confirm data compatibility.
  • Request an import file from your Quantum Workplace contact
  • Format your data in the import file, including:
    • One row per feedback recipient
    • Response Date
    • Talent Review Ratings
  • Talent Review Comments
  • Submit your completed template  to your Quantum Workplace contact.

The Quantum Workplace team will validate and upload Talent Review data. Once processed, the imported information will be accessible in the Talent Review dashboard.

1. What is a historical data load in Quantum Workplace?

A historical data load is the process of importing past employee data (feedback, goals, reviews, etc.) into Quantum Workplace. This ensures you maintain continuity, context, and the ability to analyze long-term trends across your organization.


2. How much historical data can we load?

Quantum Workplace supports importing one year of historical data by default. Additional years can be imported for an extra fee.


3. Is historical data import self-service?

It depends on the feature:

6. How do I get the templates or mapping files?

Contact your Quantum Workplace representative—they will provide the correct templates and instructions tailored to your configuration (especially for Feedback and Reviews).


7. Can I import past data myself?

Only Goals can be imported via a self-service tool. All other data types require QW assistance to ensure proper formatting, mapping, and placement.


8. How do I submit the files?

Once your data is formatted, submit the completed file(s) and supporting documents (like PDFs or mapping sheets) to your Quantum Workplace contact.


9. What survey scales are supported for trending?

QW supports 5- and 6-point scales, with 6-point being preferred. If your original survey used a different scale, trending may not be possible. Also, remove “N/A” responses for accuracy.


10. Can we use historical survey data for year-over-year trending?

Yes—but only if:

  • The question structure and scale match QW’s expectations

  • You specify that your intent is “Trending” in your import
    Otherwise, data will be imported as “Reference Only”
