Using Static Meeting Links for 1-on-1s

Learn how to add and use static meeting links with Zoom or Microsoft Teams, and how they work inside Quantum Workplace.

Overview

By default, scheduling a 1-on-1 in Quantum Workplace may require creating a separate Outlook or Teams meeting invite to add a video conferencing link. If you’d like to eliminate that extra step, you can opt to use a static meeting link.

Static meeting links are reusable links that never change. Adding one directly to your 1-on-1 setup in Quantum Workplace ensures the link is always included in your Outlook calendar block—without the need to send a separate invite.

Zoom: Personal Meeting Room Links

Zoom makes it simple to create a static link using your Personal Meeting ID (PMI).

  1. Open Zoom and go to Personal Meeting Room.
  2. Copy your Personal Meeting Room link.
  3. When creating a 1-on-1 in Quantum, paste the link into the Meeting Link field.

Microsoft Teams: Channel Meeting Links

Microsoft Teams does not currently offer a direct equivalent to Zoom’s PMI. Each Teams meeting typically generates a unique link.

However, Channel Meeting links appear to remain static. If your organization uses Teams, you may be able to:

  1. Create a dedicated channel for 1-on-1 meetings.
  2. Schedule a Channel Meeting in that channel.
  3. Copy the link and paste it into the Meeting Link field in Quantum.

How Meeting Links Work in Quantum 1-on-1s

  • Admin-initiated 1-on-1 cycles are not connected to Outlook.
  • User-initiated 1-on-1s create an Outlook calendar block if a date/time is added.
  • If you add a meeting link (like a Zoom PMI or Teams Channel link), the link will appear in the Outlook calendar block.
  • If you update the 1-on-1 date/time in Quantum, the Outlook calendar block will update automatically.
  • Changes made directly in Outlook will not update the 1-on-1 in Quantum.

 

Add a Meeting Link to a New 1-on-1

  1. Click 1-on-1s in the left-hand navigation menu
  2. Click Start New 1-on-1 in the top-right
  3. Configure the user-initiated 1-on-1, learn more
  4. Click Video Meeting Link in the footer (Figure A)
  5. Enter the virtual meeting link in the Video Meeting Link field (Figure B)
  6. Click Create 1-on-1 

Note: Always add the static link directly in Quantum so it flows into your calendar invite.
