Providing & Managing Mobile Numbers for Survey Text Messaging

Learn how to provide, remove, and format mobile numbers to enable survey text messaging.

To use Survey Text Messaging in Quantum Workplace, organizations need to provide a list of consenting mobile numbers.

In this article, we'll learn how to add and remove numbers, integration options, and the required phone number formats for Twilio SMS delivery.


Ways to Provide Mobile Numbers

There are two ways to provide mobile numbers in Quantum Workplace:

1. HRIS Integration

Organizations using an HRIS integration can provide mobile numbers in two ways:

  • Option 1: Mobile Numbers Only

    • Provide mobile numbers for consenting employees.

    • Leave the field blank for employees who have not given consent.

    • Any number provided will be assumed to have consent.

  • Option 2: Mobile Numbers + Consent Field

    • Provide both a mobile number and a consent field (TRUE/FALSE).

    • If consent = FALSE, the mobile number will be removed from Quantum Workplace, even if a number is provided.

    • This option is required for ADPWFN data connector integrations.

    • Typically used by partner integrations such as Paychex and UKG Pro.

Note: The SMS consent flag in the integration file is not the same as the SMS consent field in user profiles. The integration flag only tells the system which numbers to remove.

The in-app SMS consent field shows whether a user manually texted START or STOP to your organization’s survey number.

2. Manual Bulk Import

You can also add numbers using a manual bulk import:

  • Follow the steps in [Bulk User Import](link to your bulk import article).

  • Remove any mobile numbers for employees who have not consented.

  • Any number included in the file will be assumed to have consent.


Important Notes

  • Only US-based mobile numbers can be loaded into Quantum Workplace.

  • Notify Quantum Workplace before adding new fields to your integration file.

  • Always add new fields at the end of the file to avoid data misalignment.


Phone Number Formats for Twilio

Twilio accepts mobile numbers in one of two formats:

Option 1: Two Columns (Country Code + National Number)

  • Country code must be an integer. Any leading “+” will be stripped.

    • Example: 1 or +1

  • National number can contain characters like dashes or parentheses. These will be cleaned automatically.

    • Example: 5558675309 or (555) 867-5309

Option 2: Single Column (E.164 Format)

  • Must begin with a “+” and include the country code, followed by the national number.

    • Example: +15558675309
