Overview

As an admin, learn how to create and manage Performance Review templates to encourage productive conversation between managers and their employees. 

Template questions are reviewed and completed by both participants before meeting in-person or virtually for a guided conversation. Once created, templates can be reused and modified for future Performance Reviews.

Requirements

  • Available to organizations with 1-on-1s enabled
  • Available to full admin users

Access Admin-Created Templates

To access admin-created templates:

  1. Click and expand Administration in the left-hand navigation menu
  2. Click Performance Reviews; click Templates

Create a Performance Review Template

Competencies question types and the Performance Goals booster are exclusive to Performance Review templates.

Add Questions & Conversation Boosters

To add questions and/or Conversation Boosters to a template:

  1. From the Templates page, click New Template in the top-right
  2. Enter a name for the template; click Save and Continue to navigate to the template creator
  3. Click the icon to expand a menu with possible questions and Conversation Boosters
  4. Click the appropriate question type or Add to Template for a Conversation Booster to add it to the template
  5. Once added to the template, configure the settings of the question and/or Conversation Booster
  6. Once configured, click Add to include the question in the template
  7. Repeat steps 3-6 to add additional questions to the template
  8. Click Preview Template along the banner to verify and confirm the template's setup

Configure Template Settings

To configure a template's settings:

 

  • A. Template Name: Click the corresponding edit icon to edit the template title
  • B. Can Be Used By: Click the edit icon to specify the users who can use the template
    • Click Specific Users and/or Specific Demographics to limit usage
  • C: Can Be Launched By: Indicates the template's compatibility with Performance Reviews
  • D. Can Be Launched In: Click the edit icon to select additional languages the template should support
Click Finalize & Activate.

Edit Templates

To edit a Performance Review template:

  1. To edit a template

    1. From the Your Templates tab, click Edit for the template you want to update.

    2. Click on a template section header, question, or Conversation Booster’s ⋮ icon.

    3. Click Edit to open the settings for that header, question, or booster.

    4. Make the necessary edits.

      • Edits that never impact trending: (help text, required/optional status, min/max responses, or comment settings) can be saved without impacting historical data.

      • Editing questions on previously used templates opens a confirmation modal (shown above) with two choices:

        • Apply edit to all versions (A)Updates the question everywhere it’s used, keeps historical responses together, and preserves trending data.

        • Create a new question version (B)Disables the current question on this template and creates a new version with your edits. Analytics will display separate versions and trending will start fresh for the new question.

    5. Review the Previous Usage (C) dropdown to see where this question has been used before making your choice.

    6. Click Save Changes to finalize your edits.

Clone a Template

Alternatively, clone an existing template to use the template as a starting point for a new template. 

To clone a template:

  1. From the Your Templates tab, click and navigate to the Organization Templates tab
  2. Click Copy for the corresponding template*
  3. Enter a name for the template and click Save to navigate to the template creator
  4. Add new questions or edit existing questions
  5. Click Preview Template along the banner to verify and confirm the template's setup
  6. Click Finalize & Activate 

*Note: If a template is edited and then copied, all future copies will include the edits.
