Overview
Survey links provide access in different ways:
- Shareable links can be accessed by anyone with the URL unless participants are required to log in or enter their employee ID.
- Participant-specific links are intended for individual participants. Forwarding one of these links may allow someone else to submit a response on the participant’s behalf.
Use the guidance below to prevent link issues and help affected participants complete their surveys.
Prevent Survey Link Issues
Encourage participants to use their own survey invitations and avoid forwarding participant-specific links.
When inviting participants through a shareable link, require them to identify themselves:
- Open the survey’s Participants step.
- Select Invite with a Shareable Link.
- Choose Prompt participants to log in or enter their employee ID.
This associates survey access with the participant.
If you do not want participants to access the survey through a shareable link, disable the Shareable Link setting and direct participants to their individual invitations.
Resolve a Survey Marked as Completed
The next step depends on the participant’s experience:
| Participant’s experience | Resolution |
|---|---|
| Someone else completed the survey using the participant’s individual link. | Contact Support to reset the survey. |
| The participant was completing the survey, their session timed out, and the survey then appeared as completed. | Contact Support to reopen the survey. |
| The participant does not recognize the completion status and is unsure what happened. | Contact Support and describe the participant’s experience so Support can determine the next step. |
Reset a Survey
If someone else submitted a response using a participant’s individual link, have the affected participant contact Support and explain what happened.
Support can clear the existing response and send a new invitation. After the reset:
- The old link is deactivated.
- The participant receives a new survey link.
- The participant can submit their own response.
Reopen a Survey
If a participant was actively completing the survey before it unexpectedly appeared as completed, contact Support to request that the survey be reopened and the invitation resent.
Include that the participant was working in the survey and whether their session timed out.
Resend a Missing Invitation
If a participant did not receive their survey invitation, the invitation can be resent.
If an existing response must also be cleared so the participant can start again, contact Support for a reset. Resending an invitation alone does not replace the reset process.
