Overview

As an Admin, you can cue Exit Surveys to be automatically sent to your terminating employees using Pulse Survey. The process of launching an Exit Survey is the same as launching any Pulse Survey, except that when you create the cycle you will select "Automated" rather than "Single Cycle" and you will select dates that the exiting employees should receive an invitation to take the Exit Survey. You can set the survey to go out before or after an employee has terminated; if you have provided secondary/personal email addresses for your employees, they will receive email notifications about the Exit Survey once they are listed as inactive in Quantum Workplace. 

The first step to creating your Exit Survey is to build the template, or question set, that should be included in your Exit Survey. Once you've completed that, you are ready to set up your exit survey cycle and launch.  

Launching an Exit Survey

    1. From  Administrationgo to Surveys & Pulses.
    2. Select New Survey. 
    3. Select Cycle Type: Automated Cycle  Choose Automated exit survey you intend to keep open beyond a specific period of time, regardless of whether you will add participants manually. 

A note on automating cycles:

Automating your Exit Survey cycle is easiest If you utilize an HRIS integration. This way, departing employees will be automatically invited to take the exit survey as their termination date gets updated.

You should still set your Exit Survey cycle to Automated even if your company does not utilize an HRIS, but you will need to manually add employees to take the exit survey via the Respondents section each time you want to add someone. 

  1. Name the cycle 
  2. Enter additional information in About This Cycle that you would like to include in the email invite and at the top of the survey. Check the box next to Include "About This Cycle".
  3. If you would like Managers to view data for their down line employees who terminate, check the box next to Manager Analytics. 
  4. Confidentiality: Decide whether the survey data will be attributed or confidential. For most organizations, Exit Survey data is attributed.
  5. Click  Save and Continue.
  6. From the Choose Survey template drop down, select your exit survey template. Click Save and Continue.
  7. Under Set Schedule & Milestones, toggle to Exit Date so that the survey goes out based on Exit Date. Update the Survey Launches section so that the survey is set to launch a certain number of days before the employees' exit dates. Decide when you would like reminder emails to be sent to respondents who haven't completed the survey yet; click Save and Continue. Our recommended cadence is pictured below. 
  8. If not all departing employees should be invited to the survey, click Limit Participants to limit who should be invited to the survey based on a particular demographic. We often see customers limit participation in the Exit Survey to employees who are voluntarily departing; this group may be coded as Termination Type: Voluntary or similar. 
    Note: If your Exit Survey is not automatic, you will need to Add Respondents from this section every time you would like to invite an employee to take the Exit Survey. In this case, you will not need to Limit Users, since you will manually add every employee. Click Save and Continue



  9. To launch your exit survey immediately, click Enable Automation Now (you will be prompted to confirm your selection). You can schedule your survey to launch in the future by clicking Schedule for Later and entering the date the cycle should become active.
