How to Launch a New Hire Survey

Overview

As an Admin, you can launch New Hire Surveys using Pulse Survey. The process of launching a New Hire Survey is the same as launching any other Pulse Survey except that you will need to set the cycle to Automated and specify the number of days after an employee's start date that they should receive an invitation to take the survey. 

As with any Pulse Survey, the first step is to build your template, or question set, for the New Hire Survey. Once you've create, you can set up a cycle and launch your survey. 

Launching a New Hire Survey

    1. From Administration, go to Surveys & Pulses
    2. Select New Survey
    3. Under General Settings, select Automated Cycle.

A note on automated cycles:

You should automate any New Hire survey that you intend to keep open for an extended period of time. 
If you have an HRIS integration established, your new hires will automatically be invited to take the survey a designated number of days after their hire date. 

If you do not have an HRIS integration, you will need to manually invite new hires to take the survey from the Respondents section of the cycle set up. Read below for instructions. 

  1. Name your survey (e.g. 30-Day New Hire Survey).
  2. Enter additional information for your survey takers in About This Survey; select the checkbox next to "Include in emails and survey?"
  3. Optional: If you would like managers to see data for their new hires who complete the survey, check the box next to Manager Analytics.
  4. Choose whether the responses will be confidential or attributed to the person completing the survey.
  5. Optional: If your survey is attributed and you would like to be notified every time a new hire completes the survey, click Advanced Options and enter your name in the box "Send email for new responses to". (You can enter any Admin here).
  6. Under Advanced Options: If some employees will need to take the survey by entering their employee ID or a unique code, specify that under Survey Access.
  7. Click Save and Continue. 
  8. Select your new hire survey template; click Save and Continue.
  9. Set Schedule & Milestones. By default, the survey should trigger based on hire date; keep this as is. Next, specify the number of days after their hire date new employees should be invited to take the survey. Specify the number of days after being invited to take the survey that follow-up reminder email should be sent out to new hires who haven't completed the survey yet. Note: If you do not have an HRIS integration established, the number your enter for date initial invites are sent does not matter, because you will have to manually add employees to take the survey and they will receive an invitation immediately after they've been added. The reminder dates will still be sent the specified number of days after the initial invitation is sent. 
  10. Respondents: If you have an HRIS integration established, new hires will be invited to take the survey automatically based on their hire date. If you would like to limit who should be invited to take the survey (e.g., if only certain departments should take the survey), click Limit Users to narrow survey invitees by demographic. 

    If you do not have an HRIS integration established, click Add Respondents to add any new hires who you would like to take the survey at this point. You will need to return to the Respondents section and add in new employees in order for them to take the survey. Alternatively, if you frequently update your employee information in Quantum Workplace and include hire date, the system will invite new hires to take this survey the specified number of days after their hire date. We recommend adding new hires to the survey manually unless you frequently update your employee information in Quantum Workplace. 
  11. Activation Settings: Click Enable Automation Now to launch and automate the new hire survey, or click Schedule for Later to set a date that the survey should be automated. Note: If you have added any employees to the respondents section, their survey invitations will be sent once automation is enabled.
