How to Control Who Can Use 1-on-1 Templates

As an Admin, you can specify whether 1-on-1 templates should be available only for Admins launching 1-on-1 cycles or whether employees should be able to use a template for the 1-on-1s they initiate.

By default, 1-on-1 templates are available to employees and managers to use for user-initiated 1-on-1s and for Admins to use as part of 1-on-1 cycles.  From within the template settings, Admins can remove the option for a particular 1-on-1 template to be available for user-initiated 1-on-1s or can limit which users should have the option to use the template for their user-initiated 1-on-1s.

If you would like to limit the template to only be used by Admins as part of a 1-on-1 cycle, you can disable the ability for managers and employees to use the template via the Can be launched by setting on the 1-on-1 template. This setting is located in the panel to the right of the 1-on-1 questions: 

Click the drop down arrow next to Can be launched by to view and edit this setting: 



If you do not want employees to be able to start a 1-on-1 using this template, un-check the box next to User-Initiated 1-on-1s and click Save. Once you click Save, this 1-on-1 template will no longer be available for any user to choose from when they initiate their own 1-on-1s.

 

Limiting Which Users can Initiate 1-on-1s Using a Template

If you do want this template to be available for user-initiated 1-on-1s, but you want to limit which specific 1-on-1 users should be able to use this template, you can edit the Can be used by setting.
This setting allows you to limit who will be able to see this template from their list of available templates when they start their own 1-on-1. 

From the template settings to the right of the 1-on-1 questions, click the arrow next to Any User to view your options for limiting this template. For any edit you make, you must click Save in order for it to be updated. 




Note: If a 1-on-1 template is available to a specific user to launch, they will have the option to launch a 1-on-1 using that template with any other 1-on-1s user, even if that employee doesn't have the ability to launch a 1-on-1 using that template. 

 

You can select the checkbox next to Any Manager if you want this template to only appear as an option for managers to initiate a 1-on-1 with this template, rather than individual contributors. 

You can select the checkbox next to Specific Departments if you want this template to only be available for 1-on-1 users who belong to certain department(s). 

Similarly, if you only want this 1-on-1 template to be available to specific user(s), you can check the box next to Specific Users and type in the names of the specific employees who should see this 1-on-1 template as an option for their user-initiated 1-on-1s.
