Manage 1-on-1 Template Access

As an admin, create and manage templates for user-initiated and admin-initiated 1-on-1 cycles. Manage if a template is available for user-initiated and/or admin-initiated cycles, and which users can use the template.

Overview

As an admin, create and manage templates for user-initiated and admin-initiated 1-on-1 cycles. Manage if a template is available for user-initiated and/or admin-initiated cycles, and which users can use the template.

Requirements

• Available to full admin users

Access Templates

To access the 1-on-1 template editor:

1. Click and expand Administration in the left-hand navigation menu
2. Click 1-on-1s
3. Click Templates
   • A. User-Created Templates: Toggle to display all user-created templates, i.e. not created by an admin 
   • B. Type: Indicates if the template is eligible for user-initiated and/or admin-initiated cycles
   • C. Status: Indicates if the template is active or deactivated
   • D. Access: Indicates the user(s) with access to the template
   • E. Utilization: Indicates the number of times the template has been used
4. Click on the template name to navigate to the template editor

Manage Template Access by User

To manage who has access to a template:

1. From the template editor, click the edit icon for the Can Be Used By card on the right-hand side
2. Select the users who can use the template:
   • Any User: No restriction, any user can use the template
   • Any Manager: Any user with a direct report can use the template
   • Any Admin: Any full admin user can use the template
   • Specific Users: Enter the individual(s) who can use the template
     
     • A user with access to a template can launch a 1-on-1 with a user who was not added as a Specified User
   • Specific Demographics: Enter the individual demographic(s) who can use the template, i.e. Location: Boston, Dept: Sales, etc.
3. Click Save

Manage Template Access by Type

Performance Review cycles are limited to admin-initiated cycles. Confirm that templates for Reviews can be launched by admin-initiated cycles. 

To manage template access by 1-on-1 type:

1. From the template editor, click the edit icon for the Can Be Launched By card on the right-hand side
2. Select the 1-on-1 types this template can be used with:
   • Admin-Initiated Cycles
     • Enable for Performance Review templates
   • User-Initiated
3. Click Save
