How to Change the Facilitator of a 1-on-1

Admins and current Facilitators can change the 1-on-1 Facilitators to adapt to a variety of scenarios.

Overview

As an admin or the current Facilitator for an unfinalized 1-on-1, you can update the user acting as the 1-on-1's Facilitator.

This may be necessary for a variety of reasons, e.g. if the manager that an employee reports to changes, or if the reporting information at the time of the cycle's launch was outdated.

Visibility into 1-on-1 Responses

The new Facilitator has visibility into the former Facilitator's responses.

If the Facilitator of a 1-on-1 is updated, any responses by the employee or former facilitator are saved and visible to the new Facilitator, regardless of whether the new Facilitator has shared any responses.

The new Facilitator does not have visibility into the employee's responses until they reshare their responses. 

The employee will need to share their responses with the new Facilitator for the new Facilitator to view the responses, even if the employee has already shared their responses with the former Facilitator.

How to Change the Facilitator via the 1-on-1

Requirements

  • Only admins and current Facilitators for the 1-on-1 can update the Facilitator
  • The 1-on-1 can not be finalized

How to Change the Facilitator

Admins and the current 1-on-1 Facilitator can select a new Facilitator from the 1-on-1 screen, as long as the 1-on-1 has not been finalized. 

When the Facilitator changes, the new Facilitator receives an email notification and an in-app notification. The next time the new Facilitator views the 1-on-1, they can view any responses created by the former Facilitator indicated by brackets. 

To change the 1-on-1 Facilitator:

  1. From the 1-on-1 page, click the ⋮ icon to expand a menu with additional options
  2. Click Change Facilitator
  3. Click the for the current Facilitator to remove them
  4. Enter and click the new Facilitator
  5. Click Change

The new Facilitator can not automatically see the responses left by the employee. 

Even if the employee shared their responses with the former Facilitator, the employee will have to re-share their responses with the new Facilitator for them to view the employee's responses. 

How to Change the Facilitator via Cycle Setup

Requirements

  • Only admins can update the Facilitator via Cycle Setup
  • The 1-on-1 can not be finalized

How to Change the Facilitator

As an admin, you can change the Facilitator of a 1-on-1 from the Participants step in the 1-on-1 Cycle Setup.

When the Facilitator changes, the new Facilitator receives an email notification and an in-app notification. The next time the new Facilitator views the 1-on-1, they can view any responses created by the former Facilitator indicated by brackets. 

To change the Facilitator via the Cycle Setup: 

  1. Click and expand Administration in the left-hand navigation menu 
  2. Click 1-on-1s
  3. Click the appropriate option, Single Cycles or Automated Cycles 
  4. Click the appropriate cycle
  5. Click and expand the second step, Participants
  6. Check the ☐ icon for the relevant cycle 
  7. Click and expand Change Facilitator
    • Click Assign to current manager to quickly update the Facilitator to the employee's current manager
    • Click Assign to a specific person to open a modal where you can enter the user who should act as the 1-on-1 Facilitator
  8. Click Save Changes
