Overview
Quantum Workplace's 1-on-1s feature gives users a dedicated space to hold guided conversations around a predetermined agenda for more focused and impactful interaction.
Use this article as a guide for all things 1-on-1s.
Requirements
- Available to all users with the 1-on-1 permission enabled
1-on-1s 101
A quick introduction to important 1-on-1 terms and concepts.
Employees & Facilitators
Employees and Facilitators are the terms given to the 1-on-1 participants.
- Employees: Participants in the left-hand column in the 1-on-1 view- they are typically the direct reports or recipients of a user-created 1-on-1.
- Facilitators: Participants in the right-hand column in the 1-on-1 view- they are typically the managers or the initiators of a user-created 1-on-1.
Action Items
Action Items are notes, tasks, or ideas generated by either 1-on-1 participant. They are a great way to organize regularly repeating information for easy reference and access.
Action Items automatically remain in future 1-on-1s with the same participants until marked complete or deleted. Learn more about Action Items.
Boosters
Conversation Boosters are optional enhancements added to a 1-on-1 template that can be used to pull in Goals and Feedback activity into the 1-on-1 for discussion. Learn more about 1-on-1 Boosters.
1-on-1 Visibility
By default, the 1-on-1 participants, upline managers, and full admin users have visibility into a 1-on-1. Visibility can be managed from the 1-on-1 itself or in-bulk by cycle.
Launch 1-on-1s
Launch 1-on-1 cycles in one of two ways:
- Admin-Created Cycles: Conversations centered around a selected template for some, or all employees in the cycle
- User-Created Cycles: Allows employees and managers to set up single or recurring conversations
Admin-Created 1-on-1 Cycles
As an admin, configure and launch a 1-on-1 cycle to provide your employees with the space and time to hold productive conversations according to the selected template’s questions.
Admin-created cycles support multiple templates to prompt one group of participants with one template, and another group with a different template.

User-Created 1-on-1s
If enabled, user-created 1-on-1s are created by non-admin users to have impromptu conversations with a colleague, direct report, etc. User-created 1-on-1s require an admin to enable Anytime 1-on-1s permissions for the organization.

1-on-1 Templates
Use 1-on-1 templates to configure the question sets for 1-on-1 participants.
Templates can be customized with a variety of questions, question types, boosters, etc. Additionally, template questions can be customized to show a different version of the question depending on whether they’re the Employee or Facilitator.

Template Access
By default, 1-on-1 templates created by a non-admin user are not accessible to other users and are restricted to user-created 1-on-1s. Templates created by an admin can be accessed according to customizable rules and are available for use in both, user- and admin-created 1-on-1 cycles.
As an admin, manage template access for any 1-on-1 template based on:
- User, i.e. any user, managers, admins, by specific users, or by demographic
- 1-on-1 Type, i.e. admin-created cycles and/or user-created cycles

Use & Manage 1-on-1s
For All Users
- Writing Assistant: Streamlines and enhances responses with generative AI for meaningful and constructive responses
- Action Items: Add and manage customizable notes that are unique to 1-on-1s with the same two participants; use Action Items to easily refer to regularly repeating ideas
- Manage Visibility: Share visibility with colleagues
- Nudge Participants: Nudge your 1-on-1 partner to share their responses
- Pin Topics: Keep relevant and important Agenda entries pinned for current and future 1-on-1s
For Admins
- Training Deck: A PowerPoint deck for Employees and Managers; download and update the deck according to your organization's permissions, branding, etc.
- 1-on-1 Approvals: Optionally, require Facilitators to submit their responses for admin approval before being shared with the Employee
- Grant Visibility In Bulk: Share 1-on-1 visibility for a cycle in bulk via a CSV file upload
- Manage Facilitators: Update the Facilitator for a 1-on-1
- Manage Status: Update the 1-on-1 status at any time, i.e. Not Shared, Shared, and Finalized
- View 1-on-1 Status & Bulk-Nudge: View the 1-on-1 status for each participant in a cycle and nudge multiple participants to encourage them to act on their 1-on-1.
1-on-1s Analytics

- 1-on-1s Analytics for Admins: Analytics and reports for a given cycle

- 1-on-1s Export: Export PDF counterparts of the reports or a CSV file with detailed cycle, question, participant, and demographic information
