Overview
As an admin or a user granted permission, use the Survey Moderation feature to complete a non-confidential survey on behalf of an employee. This feature is especially useful as an additional option for conducting exit interviews, either in person or over the phone.
Surveys completed on behalf of an employee contribute to the survey's response rate like normal as if the survey participants completed the survey themselves.

Requirements
- Available to full admin and survey-admin users

Grant Permissions
Admins can assign a non-admin user to a role with the ability to complete a survey on someone's behalf. Learn more about Access Roles.
As an admin, to grant a user permission to complete a survey on someone's behalf:
- Click and expand Analytics in the left-hand navigation menu
- Click Surveys & Pulses
- Click on the survey name to navigate to the survey's analytics
- From the survey's analytics, click Access Settings in the top-right
- Click and navigate to the Access Roles tab
- Enable the following sequential permissions: View Invited Participants > View Individual Surveys > Access Admin Notes on Individual Surveys
- Enable the permission, Ability to take a survey on behalf of an employee
- Click Save
Note: The Role must be enabled and have passed the Date of Access for the users to complete a survey on another's behalf.
Access the Response Rate Report
Use the Response Rate report to view the percentage and rate of survey completion over time, and for non-confidential surveys- a list of survey participants who have and have yet to complete the survey. Learn more about the Response Rate report.
To access the Response Rate to complete a survey on a participant's behalf:
- Click and expand Analytics in the left-hand navigation menu
- Click Surveys & Pulses
- Click on the survey name to navigate to the survey's Overview page
- Click and expand the Reports drop-down menu
- Click Response Rate
Complete a Survey on a Participant's Behalf
Note: Once you enter a response on the survey, the participant will no longer be able to complete the survey on their own.
To complete a survey on a participant's behalf:
- From the survey's Response Rate report, scroll to the Invited Participants card to view the employees invited to participate in the survey
- Identify the employee who has yet to complete their survey, and click Take on Behalf to open a new confirmation tab
- Click the Survey header to quickly sort participants and view those who have yet to submit their survey
- In the new tab, click Take on Behalf to open the survey
- Click + Add Notes to expand additional fields for each question to enter additional context and notes as you complete the survey, learn more about Survey Notes
- Complete the survey questions and click Submit Survey
FAQs
- What happens to a survey participant's responses if they started but did not complete the survey?
- If the survey moderator clicks Take on Behalf in step 3 of this section, the survey participant's responses are cleared and locked out of the survey
- Can the survey participant view the answers submitted on their behalf?
- The survey participant can view the answers submitted on their behalf once the moderator submits the survey, as well as the moderator's name and date
- Can I track which admins completed a survey on a participant's behalf?
- Yes, if an admin completed a survey on a participant's behalf, the name of the admin is logged in the Raw Data sheet of the Excel export under the column, Non-Participant Survey Taker
