Overview
Challenges let you engage and reward employees by creating contests, incentives, and milestone tracking. Admins create and manage; employees claim and participate.
Creating a Challenge
While only admins can create and manage challenges, any employee can be added as a participant.
Step 1: Challenge Details
- In Assembly admin, click 'Challenges'
- Click '+New challenge'
- Give your challenge a title
- Select or create a category
- Add a description with instructions for completion
- Upload a custom image or use the default
- Choose participants: Everyone, specific groups, or individuals
- Decide if participants must submit proof of completion
- Click 'Next'
Step 2: Budget & Claim Limits
Define how many times the challenge can be claimed and what the prize is:
- Set claim limits: Unlimited, total claims, or per-person claims
- Unlimited: Anyone can claim anytime
- Total claims: Set total or per day/week/month/quarter/year
- Per person: Each participant can claim X times (per day/week/month, etc.)
- Set the prize amount (max 10,000 points)
- Click 'Next'
Examples:
- Total 5 claims per month + individual limit 1: 5 participants can claim once each per month
- Per person limit: 3 per week: Each of 500 participants can claim up to 3 times weekly
Step 3: Approvals
Choose auto-approval or set up approval levels:
- Auto-approve: Participants get points immediately upon claiming
- Manual approval: Add up to 4 approval levels
- Select individual people and/or groups as approvers
- First level can include 'Manager of participant'
- Second+ levels can include 'Manager of approver'
Step 4: Schedule & Launch
- Choose to launch now or schedule for later
- Set a duration (or 'No end date')
- Click 'Launch challenge' or 'Schedule'
Managing Challenges
View & Edit Drafts
- Go to app.joinassembly.com > 'Challenges' > 'Manage'
- Click the '...' icon next to a draft
- Click 'Edit' or 'Delete'
Edit Active Challenges
You CAN edit: Title, description, image, participant list, proof requirements
You CANNOT edit (if pending claims exist): Prize amount, claim limits
- Click '...' next to the challenge
- Click 'Edit'
- Make changes and click 'Save'
End a Challenge
Challenges automatically end after the set duration or when claim limits are met. To end manually:
- Click '...' next to the challenge
- Click 'End'
- Participants can no longer claim
Archive a Challenge
You must end the challenge first.
- Click '...' next to the challenge
- Click 'Archive'
- All claims are removed from the claims table (but activity remains in reports)
To unarchive: Click '...' and 'Unarchive'
Delete a Challenge
Can only delete archived challenges.
- Click '...' next to the challenge
- Click 'Delete'
- This action is permanent
See pending/approved claims and unclaimed participants:
- Go to Challenges > Manage
- Click the challenge name or a badge in the Pending/Approved columns
- View pending, approved, and unclaimed participants
- Approve/deny claims directly from here
- Remind unclaimed participants
Participating in Challenges
Available Challenges Tab
- View all challenges you can claim
- Only shows challenges you're a participant of
- When a challenge ends, it's removed from this tab
Claiming a Challenge
- Click the challenge card
- If it requires proof, submit proof (file and/or message)
- Click 'Claim'
- If auto-approved, you get points immediately
- If manual approval, wait for approval
- You'll be notified via email if approved/denied
Claimed Tab
View all your submitted claims and their status:
- Click the 'Claimed' tab
- View pending and approved claims
- If denied, you can resubmit (if the challenge is still active)
- Click 'View proof' to see or cancel your pending claim
Pending Your Approval Tab
If you're an approver, see claims awaiting your approval:
- Tab only appears if you have pending approvals
- Click the checkmark to approve
- Click the 'X' to deny (provide optional feedback)
- Denials can be resubmitted by participants
Approve:
- Click the green checkmark
- If multiple approval levels, claim goes to next level
- If final approval, claim is approved and points deposited
- Approvals cannot be undone
Deny:
- Click the red 'X'
- Provide optional feedback
- Participant sees the denial and your feedback
- They can resubmit if the challenge is still active
- Denials cannot be undone
Frequently Asked Questions
Can participants claim a challenge multiple times?
Yes, depending on your claim limit settings. You can allow unlimited claims or set daily/weekly/monthly limits.
What happens to a pending claim if the challenge ends?
Pending claims are automatically denied, and participants can't resubmit.
Can I edit a challenge after it's live?
Yes, except prize amount and claim limits if there are pending claims. Deny pending claims first to unlock editing.
